I sent them the following letter, but have not heard a reply. Just wanted to share as a precaution. Thank you.
I just wanted to express some disappointment in what was an otherwise nice time at your bed and breakfast.
When I booked this room orginally I gave you a credit card number to "hold" the room. We had a discussion that I would pay for the room with a different card when I got to Fort Worth and that was understood to be fine.
That Friday afternoon when we arrived in Fort Worth, my boyfriend gave you his credit card in which to charge the full price of the room. 1st of all, you do not have a very good situation in place for taking Credit Cards. No merchandise slip, no credit card machine, no way of making sure this transaction is "secure". His credit card information was written on a random slip of paper with a PENCIL.... She could barely see the number which she had just written down.
Obviously this was true because a hour or so later, when she was trying to "run" the credit card number, she called us at dinner at least TWICE trying to get the correct number which she had written down. Not only was this unprofessional- it was interrupting our dinner and evening and hard to hear on the cell phone what she was saying because we were in a place which was loud. We did give her the card number again over the phone when he spoke to her.
We assumed everything was fine because we did not see her the next day- nor was there any information left in our room or on either one of our phones that the credit card was not used.
Well, it turned out that the room charge was charged to the orginal card I had made the reservation with. Specifically the one I said we WERE NOT going to use and wanted to use the other credit card.
The entire credit card situation was not handled professionally. There needs to be a system in place where a person SIGNS the credit card slip once charged. The card you charged was done without a signature.
And when you took the credit card when we checked in, again-- it was without a reciept and not signed.
You need to invest in a credit card machine and give your customers a reciept.
While the "down home" feel of your establishment is nice, you do need to have some more modern touches in place to ensure the safety and accuracy of your credit card paying customers. Or switch to a cash only policy."
